Send enough information to define the configuration

An effective request for quotation starts with the delivery problem, not a photograph alone. Describe the intended drug presentation, administration route, primary container and dose requirements. Include the intended users and market, the project stage and whether you need an existing configuration or custom development. If confidentiality limits what can be shared, state the information category and arrange an appropriate disclosure process before sending proprietary formulation details. Provide a drawing reference when available and identify which dimensions or requirements are fixed. A dose range should be accompanied by the proposed increment and any relevant volume assumptions. List unknowns explicitly. This lets the supplier respond with questions and a scope rather than guessing a standard product that may not fit the eventual application or commercial plan.

Request a response that can be compared

Ask suppliers to respond in a structured way: proposed configuration, deviations, evidence available, work still needed, commercial scope and schedule assumptions. Include sample purpose, expected quantity and the documents required for your internal review. Distinguish a quotation request from an instruction to manufacture or ship a device for clinical use. Specify who will own the final product labeling, market submission and quality agreement. For a distributor inquiry, also explain the intended territory and whether supply is device-only or part of an existing authorized product arrangement. Keep a record of each open question and its owner. A complete first response may still contain unresolved technical items; what matters is that they are visible and can be closed through an agreed review rather than buried inside a generic sales proposal.
